Weddings are magical, unforgettable celebrations—but they can also come with some unexpected expenses! While most couples budget for big-ticket items like the venue, catering, and planning, there are several hidden costs that often get overlooked. To help you stay ahead, here are seven surprising wedding expenses you should plan for:

Service Fees & Gratuities

Many venues and vendors add mandatory service charges or gratuities, which can significantly impact your budget. Most catering companies charge a service fee of 15-20% on top of food and beverage costs, while staffing, bartenders, and even hair and makeup artists may expect gratuity. This doesn't include any monetary gifts to vendors who you really feel go above and beyond. Make sure to include tips and service fees into your budget to avoid any last minute surprises.



Event Insurance

Some venues require couples to purchase event liability insurance in case of damages, accidents, or unexpected cancellations. Even if it’s not required, having event insurance can provide peace of mind. The cost is typically around $100-$300, depending on your coverage and guest count. While this may seem like a minor expense to some, it is something that should be accounted for as the cost varies depending on your guest count and venue requirements.

Vendor Meals

Your hardworking vendors—photographers, videographers, planners, the DJ or band—will be with you all day, and many contracts stipulate that you must provide them with a meal. Even if their contract doesn't, it is just good practice. They're there to make sure your day goes smooth, and an empty stomach definitely won't do anyone any favors! On average, a wedding has 10 vendor meals that needs to be supplied so take that into account when planning for catering.

Credit Card Processing Fees

While paying vendors with a credit card is convenient, many charge a processing fee of 3-4%, which can add up quickly on big-ticket payments. If your vendor allows alternative payment methods like bank transfers, third-party-payments (like venmo) or cash/checks, you may be able to avoid this extra cost.

Security

Many venues require security and some with specific companies. Make sure to account for security within your budget to avoid another vendor cost popping up at the last moment. To help prepare, ask your venue or planner what the average cost of security is so they can assist with this!

Postage for Invitations & RSVPs

Elegant wedding invitations often require extra postage, especially if they include inserts, RSVP cards, or thicker materials. Depending on your guest count and invitation design, postage fees can add up quickly.

Venue Security Deposit & Cleanup Fees

Some venues require a security deposit upfront, which may or may not be refundable. Additionally, if your contract includes cleanup fees, you might be charged extra if guests leave a mess or if vendors don’t handle their own disposal. Always read your contracts so you have a clear understanding of venue expectations.
